Held is a nonprofit organization dedicated to changing lives through direct financial assistance. Since 2023, we've distributed over $500,000 to individuals and families through guaranteed income and rental assistance programs. We partner with community organizations to handle the administrative complexity of financial assistance, allowing them to focus on their core services while we manage payment distribution and program infrastructure.

Position Overview

We're seeking a proactive and organized Director of Programs and Operations to lead both our direct financial assistance partnerships and organizational administration. This role combines program infrastructure development with financial and administrative oversight. You'll transform partnership agreements into functioning programs while ensuring our organizational operations run smoothly. This position requires someone who thrives on taking initiative, building systems, and managing diverse responsibilities independently.

Key Responsibilities

Partnership Implementation (40%)

  • Take partnership concepts from our Executive Director and build out all necessary infrastructure for launch

  • Develop intake forms, eligibility documentation, and participant databases in collaboration with our technology partner (Unify)

  • Create instructional materials, process guides, and documentation for partner agencies

  • Establish clear workflows and communication protocols for each unique partnership

  • Ensure all program materials align with partnership agreements and compliance requirements

Financial & Administrative Management (35%)

  • Coordinate with the Executive Director and accountant to ensure financial operations run smoothly and on schedule

  • Serve as the operational point of contact for financial workflows, helping to connect information and follow up on outstanding items

  • Monitor administrative processes to ensure records, reporting, and compliance tasks stay on track

  • Identify gaps or bottlenecks in financial and administrative operations and flag them to leadership

  • Oversee day-to-day administrative tasks to keep the organization running smoothly

Program Management & Maintenance (20%)

  • Monitor existing programs to ensure timely payment distribution

  • Troubleshoot issues and implement program adjustments as needed

  • Maintain regular communication with partner agencies throughout program lifecycles

  • Track program milestones and flag any concerns to leadership

  • Update program documentation and processes based on lessons learned

Cross-Team Collaboration (5%)

  • Work closely with the Executive Director during program design and planning

  • Coordinate with our Participant Support Specialist during fund distribution phases

  • Serve as primary point of contact for partner agencies on operational matters

  • Collaborate with accountant on financial reporting needs

Experience & Skills

  • 3+ years of administrative, operations, or program management experience

  • Demonstrated ability to independently develop processes and documentation

  • Experience working with multiple stakeholders or partner organizations

  • Strong written communication skills for creating instructional materials and managing communications

  • Comfort with spreadsheets, reporting tools, and project tracking

  • Experience with nonprofit administration (preferred but not required)
